hivemunk Privacy Policy

Learn how hivemunk collects, uses, and protects your personal information and beekeeping data. Covers your privacy rights, data storage, and third-party services.

1. Introduction

Welcome to hivemunk ("we," "our," or "us"). We are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our software-as-a-service platform (the "Service").

By accessing or using our Service, you agree to the terms of this Privacy Policy. If you do not agree with our practices, please do not use the Service.

2. Information We Collect

2.1 Information You Provide to Us

We collect information that you voluntarily provide when you:

  • Create an account: Personal details such as your name, email address, and profile photo.
  • Set up an Organization: Business or entity name, description, and country of operation.
  • Manage Locations (Sensitive): Precise location data, including names, physical addresses, and geographical coordinates (GPS/GIS data) for your apiaries and facilities.
  • Record Beekeeping Operations: Data regarding your management of apiaries, including livestock inventories, equipment configurations, medication and inspection records.
  • Contact Us via Chat: Your name and email address when you start a chat conversation as a visitor. Logged-in users' existing profile information (name, email, and profile photo) is used automatically.

2.2 Information Collected Automatically

When you visit or use our Service, we may automatically collect certain information through cookies, pixels, and similar tracking technologies. This includes:

  • Usage Data: Pages visited, features used, links clicked, time and date of visits, and time spent on pages.
  • Device and Browser Data: IP address, browser type and version, operating system, device type, and screen resolution.
  • Referral Data: The URL of the website that referred you to our Service, including parameters that indicate whether you arrived via a paid advertisement.
  • Approximate Geographic Location: We use your IP address to determine your approximate geographic location (at the country and, where applicable, state or region level) for the purpose of applying the appropriate consent requirements under applicable privacy laws. This location data is stored in a short-lived cookie and is not combined with other personal information. See our Cookie Policy for details.

We use the Meta (Facebook) Pixel on our Service to collect some of this information. The Meta Pixel is a tracking technology provided by Meta Platforms, Inc. ("Meta") that records how visitors interact with our website. When the Pixel is active, it collects data such as your IP address, browser information, pages visited, buttons clicked, and page metadata, and transmits this data to Meta. For more information on what data the Meta Pixel collects, please refer to our Cookie Policy.

We also use the Google Tag (gtag.js) for Google Ads on our Service. The Google Tag is a tracking technology provided by Google LLC ("Google") that records how visitors interact with our website and measures the effectiveness of our Google Ads campaigns. When the Google Tag is active, it collects data such as your IP address, browser information, pages visited, conversion actions, and referral information, and transmits this data to Google. We also use Microsoft Clarity on our Service. Microsoft Clarity is a user behavior analytics tool provided by Microsoft Corporation ("Microsoft") that captures how visitors interact with our website through session replays, heatmaps, and aggregated usage metrics. When Clarity is active, it collects data such as your IP address, browser and device information, mouse movements, clicks, scrolls, and page content necessary to reproduce a visual session replay. This data is transmitted to Microsoft. Microsoft Clarity does not collect passwords, payment details, or other sensitive input fields, which are masked by default. The Meta Pixel, Google Tag, and Microsoft Clarity are only activated in accordance with the consent requirements that apply to your geographic location. For visitors in regions with opt-in consent requirements (such as the EEA, UK, and Brazil), these technologies are not activated unless you provide explicit consent. For visitors in regions with opt-out rights (such as California), they may be active by default, but you may opt out at any time. 3. Data Storage and International Transfers

Primary Storage Location: Our servers and primary operations are located in Canada and the United States.

3.1 Transfers from the EEA, UK, and Switzerland

If you are located in the European Economic Area (EEA), the United Kingdom, or Switzerland, please be aware that your personal data will be transferred to and stored in Canada and the United States.

When the Meta Pixel is active (with your consent), data collected by the Pixel is transmitted to Meta Platforms, Inc. in the United States. Meta processes this data in accordance with its own Data Policy. For information on the safeguards Meta uses to protect international data transfers, please refer to Meta's Privacy Policy at https://www.facebook.com/privacy/policy/.

When the Google Tag is active (with your consent), data collected by the Google Tag is transmitted to Google LLC in the United States. Google processes this data in accordance with its own Privacy Policy. For information on the safeguards Google uses to protect international data transfers, please refer to Google's Privacy Policy at https://policies.google.com/privacy.

When Microsoft Clarity is active (with your consent), data collected by Clarity is transmitted to Microsoft Corporation in the United States. Microsoft processes this data in accordance with its own Privacy Statement. For information on the safeguards Microsoft uses to protect international data transfers, please refer to Microsoft's Privacy Statement at https://privacy.microsoft.com/privacystatement.

When you use our chat feature, your messages and associated profile information are transmitted to GetStream.io (Stream Chat), which processes data in the United States.

3.2 No Waiver of Rights

Under the General Data Protection Regulation (GDPR), your data protection rights are fundamental and cannot be waived by contract or agreement. Regardless of where your data is stored, if you are an EU resident, you retain all protections granted by the GDPR.

4. Service Providers and Third Parties

To provide our Service effectively, we share certain information with third-party service providers. In all cases in which we provide data to service providers, we provide the absolute minimum required for them to serve their specific function.

The following providers are named explicitly because they either interact with you directly or handle particularly sensitive categories of your data:

Real-Time ChatGetStream.io (Stream Chat)Used to power live chat messaging between you and our team. Chat messages, your name, and (for logged-in users) your profile photo are transmitted to Stream Chat for message delivery.

In addition to the providers listed above, we use a number of other third-party service providers to operate the Service. These providers fall into the following categories:

  • Cloud Infrastructure & Storage: Used to host uploaded files and media.
  • Database Services: Used to store your organization and operational data.
  • Hosting & Analytics: Used to host our application infrastructure and monitor performance.
  • Authentication Services: Used to manage secure logins and account verification. We do not store your passwords on our servers.
  • Communication: Used to send system notifications, account-related emails, and service updates.
  • AI Processing: Used for speech-to-text transcription and for structuring data into machine-readable formats.
  • Customer Support: Used to manage and respond to your inquiries and support tickets.

5. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service.
  • Enable the mapping and spatial management of your apiaries.
  • Facilitate the recording and tracking of hive health and operations.
  • Communicate with you regarding your account and updates to the Service.
  • Determine which privacy and consent requirements apply to your visit based on your approximate geographic location (see our Cookie Policy).
  • Measure and analyze website traffic and user behavior to improve the Service experience (via the Meta Pixel, Google Tag, and Microsoft Clarity, in accordance with applicable consent requirements).
  • Understand how visitors interact with our Service through session replays, heatmaps, and aggregated usage metrics to identify usability issues and improve the user experience (via Microsoft Clarity, in accordance with applicable consent requirements).
  • Deliver targeted advertisements to you on Meta platforms (such as Facebook and Instagram) and Google's advertising network based on your interactions with our Service (via the Meta Pixel, Google Tag, and Microsoft Clarity, in accordance with applicable consent requirements).
  • Provide real-time chat support between you and our team.

5.1 Treatment, Medication, and Pest Monitoring Data

The Service collects and stores sensitive operational data related to your beekeeping practices, including but not limited to: medication and treatment inventories, treatment application records, pest monitoring data, and disease observations.

Commitment to Privacy: We will never voluntarily share, disclose, or report this information to any governmental, agricultural, or regulatory agency. We will only disclose such data to regulatory authorities if we are compelled to do so by law (e.g., pursuant to a valid subpoena, court order, or other legally binding process).

This commitment extends to all forms of treatment-related data you store within the Service, regardless of the substances involved or the regulatory status of those substances in your jurisdiction.

5.2 Meta Pixel, Google Tag, and Microsoft Clarity Data

Data collected through the Meta Pixel, Google Tag, and Microsoft Clarity is used exclusively for the purposes described in this Privacy Policy (website analytics, advertising, and usability analysis). We do not use the Meta Pixel, Google Tag, or Microsoft Clarity to collect or transmit any beekeeping operational data, treatment records, location coordinates, or other sensitive apiary information to Meta, Google, or Microsoft. These technologies operate only on general website interaction data such as page views, button clicks, conversion actions, and browser information.

6. Data Security

We prioritize the security of your data. The Service exclusively uses HTTPS (TLS/SSL) to encrypt all data transmitted between your web browser and our servers, ensuring that your personal information and beekeeping records remain private and secure during transit.

7. Your Privacy Rights

Depending on your location, you have certain rights regarding your personal information. You may exercise these by contacting us directly at hello@hivemunk.com. These rights include:

  • Access and Portability: The right to request a copy of your personal data.
  • Correction: The right to request that we rectify inaccurate or incomplete information.
  • Erasure: The right to request deletion of your data (the "right to be forgotten").
  • Object to Processing: The right to object to our processing of your data based on our legitimate interests.
  • Withdrawal of Consent: Where we rely on consent (such as for the Meta Pixel, Google Tag, and Microsoft Clarity), the right to withdraw it at any time. Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal. 8. Regional Specific Information

8.1 For EEA/UK Residents (GDPR)

Data Controller: hivemunk is the controller of your personal data.

Legal Bases: We process data to fulfill our contract with you, to comply with legal obligations, and for our legitimate business interests. For the use of analytics and advertising cookies (including the Meta Pixel), we rely on your explicit, opt-in consent as the legal basis for processing.

Consent Mechanism: When we detect that you are visiting from the EEA or UK, we present a cookie consent banner before any non-essential cookies are placed on your device. The Meta Pixel, Google Tag, and all associated analytics and marketing cookies are blocked until you provide affirmative consent by clicking "Accept." If you click "Decline," no non-essential cookies are placed and no data is transmitted to Meta or Google. Your preference is stored for one year and can be changed at any time (see our Cookie Policy).

When the Meta Pixel is active, Meta Platforms, Inc. acts as a joint controller with hivemunk for the collection of data through the Pixel. Meta processes this data in accordance with its own Privacy Policy. You may exercise your rights with respect to Meta's processing of your data directly with Meta.

When the Google Tag is active, Google LLC acts as a data processor on our behalf for the collection of data through the Google Tag. Google processes this data in accordance with its own Privacy Policy and its Ads Data Processing Terms. You may exercise your rights with respect to Google's processing of your data directly with Google.

When Microsoft Clarity is active, Microsoft Corporation acts as a data processor on our behalf for the collection of data through Clarity. Microsoft processes this data in accordance with its own Privacy Statement and its Online Services Data Protection Addendum. You may exercise your rights with respect to Microsoft's processing of your data directly with Microsoft.

8.2 For California Residents (CCPA/CPRA)

California residents have the right to know what personal information is collected, to delete it, and to opt-out of the "sale" or "sharing" of personal information.

hivemunk does not sell your personal data to third parties. However, the use of the Meta Pixel and Google Tag may constitute "sharing" of personal information as defined under the California Privacy Rights Act (CPRA), because they make certain personal information (such as online identifiers and browsing activity) available to Meta and Google for cross-context behavioral advertising purposes.

Your Right to Opt Out of Sharing: California residents have the right to opt out of such sharing. When we detect that you are visiting from California, we present you with the option to opt out of non-essential cookies, including the Meta Pixel, Google Tag, and Microsoft Clarity. If you opt out, the Meta Pixel, Google Tag, and Microsoft Clarity will be deactivated on your device and no data will be collected or transmitted to Meta, Google, or Microsoft through these technologies. Your preference is stored for one year and can be changed at any time (see our Cookie Policy).

8.3 For Brazilian Residents (LGPD)

If you are located in Brazil, we process your personal data in accordance with the Lei Geral de Proteção de Dados (LGPD). For analytics and advertising cookies, including the Meta Pixel, Google Tag, and Microsoft Clarity, we rely on your explicit, opt-in consent as the legal basis for processing. Our consent mechanism for Brazilian visitors operates in the same manner as described in Section 8.1 for EEA/UK residents: non-essential cookies are not placed until you provide affirmative consent. You may withdraw your consent at any time (see our Cookie Policy).

9. Children's Privacy

The Service is not intended for users under the age of 18. We do not knowingly collect personal information from individuals under the age of 18. If we learn we have collected information from a minor without appropriate parental or guardian authorization as outlined in our Terms of Service, we will delete that information promptly.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last Updated" date.
